Paper documents. They take up drawers full of space. They get lost.
They get misfiled. They get damaged. And just when you need them most,
they're likely to turn up missing.
There's one undeniable fact: The larger your business grows, the more
paper you'll have to process. And more paper means it takes more time
to locate a particular item - along with a greater risk that item will
be damaged, lost or misplaced. If you've ever faced an IRS audit, you
know just how critical it can be to find the exact document you need
and to find it quickly.
There's got to
be a better way, right?
Yes, there is
- and it's why we developed dti-imaging. Since 1980, we at DalTech
International have been providing technical solutions to companies and
governmental organizations worldwide. In 1989 we formed a team that
specializes in the field of Document Imaging (scanning the contents of
paper documents and creating digital copies of them for fast computer
retrieval).
Now we've applied our 20+ years of experience in the systems
integration field to the integration of full Document Imaging features
into a supported version of Quickbooks, the acknowledged standard in
fast and easy business accounting. It's a truly "industrial strength"
yet very affordable solution that enables you from within QuickBooks to
pull up any document on your screen. You can then examine, print,
e-mail or even fax the document quickly and easily.
How It Works
With
dti-imaging, you use a scanner to create a digital image of each
document. dti-imaging will then save the images to files on your hard
drive. As an example, let's say you receive a bill from ABC Widgets,
with the reference invoice number 32111. When you enter the bill into a
supported version of Quickbooks, you simply select ABC Widgets in the
dti-imaging window, enter the reference number and scan the bill. Now,
after you pay the bill, you can recall it and see the image of the
entire original. The original paper document can either be archived or
thrown away.
When you later
want to retrieve the image, you would simply navigate to the vendor ABC
Widgets and click on the line item for that document. dti-imaging
enables you to quickly select from a list of documents from QuickBooks'
Customer, Vendor, Employee or Other lists. Plus, dti-imaging comes with
a search capability that will enable you to find the document based on
its reference (in this case invoice number) as well as other pertinent
information.
What Will dti-imaging Do for Me?
If your
business is required to keep track of paper and you're using a
supported version of Quickbooks, dti-imaging will benefit you in
several ways...
You have
instant retrieval of documents to your screen - no more trips to the
filing cabinet
You can't lose or misplace documents
You virtually eliminate any possibility of misfiling documents
Damage to original documents is no longer a concern, because they are
no longer needed
You vastly improve audit trails, should you undergo an IRS, State, or
any other audit
Your documents can be quickly and easily attached to e-mail messages or
be faxed to recipients (with faxing software available separately)
But Will It Work in My Business?
Certainly!
Here are some examples of businesses, and documents that keep them tied
up in the Old Paper Shuffle:
Wholesalers
who must keep track of tax exemption certificates and tax exempt
transactions
Doctors offices and clinics that must maintain secure patient records
Attorneys who need to keep secure copies of contracts and other legal
agreements
Construction companies that must track contracts, change orders and
signoffs
Companies that must maintain confidential employee records, including
resumes, health forms, benefit forms, performance reviews, etc.
Any company that may ever undergo an IRS or State audit
The Bottom
Line: What will you do with the time and money that instant, loss-less
document retrieval will save your business?
What Will It Cost?
You can put
dti-imaging to work in your business for a one-time investment of only
$199. That means it will pay for itself the next time you don't have to
buy another legal-size file cabinet! So the real question is: What will
it continue to cost you, if you don't start using dti-imaging?
At only $199,
dti-imaging is an unquestioned bargain. Even so, we'd like you to be
able to experience it for yourself - without having to lay out so much
as a dime. And we have provided a painless way you can do that.
